We are searching for a full time Call Center Coordinator to support our Call Center team located at our central business office in Glenview, Illinois. This position works M-F 8:30 am-5:00 pm.
The Call Center Coordinator will oversee all call center functions including, but not limited to, responding to web or phone inquiries from potential patients, providing information on programs available, scheduling new patient appointments, and providing pre-appointment communication and follow-up.
Responsibilities included, but not limited to the following:
•Obtains all patient demographic and insurance information from new patients.
•Enters all patient demographic information into Salesforce, then into Nextgen followed by Artworks (proprietary software systems).
•Scheduling new patient appointments for all FCI clinics and doctors.
•Responsible for scheduling new patient appointments and other types of appointments, such as Fertility Awareness, Semen Analysis and Behavioral Specialists (i.e. return and call-in appointments).
•Enters orders into Artworks for fertility awareness patients.
•Occasionally assists with the scheduling of patients for current studies.
•Sends patient registration forms to patient prior to appointment.
•Responds to FCI, IntegraMed, and other email leads within the same business day.
•Responsible for completing all Salesforce tasks on a daily basis.
•Keeps a detailed report of all inquiries (contact/appointment Excel spreadsheet).
•Controls web leads that come in through FCIonline.com on a daily basis.
•Keeps a detailed list of cancelled/no show patients to call and recapture.
•Able to communicate with FCI clinics and insurance verifiers to ensure proper transition of patient information.
•Understands all programs and services offered at FCI to correctly answer prospective patients’ questions including but not limited to fees, treatment, treatment processes and becoming an egg donor, etc.
•Manages daily high call volume.
•High School Diploma, Associate Degree and/or Business School preferred
•Minimum two (2) years of experience as a patient services coordinator or medical office receptionist preferred.
•Knowledge of various insurance carriers.
•Knowledge of Salesforce preferred.
•Knowledge of IVF procedures, policies and services preferred.
•Polite and courteous telephone etiquette.
•Comfortable working with patients in difficult emotional situations.
•This person must be able to show care, compassion and the ability to handle working with emotional patients to schedule appointments.
•Knowledge of office procedures and office machines (i.e. fax, copier, printer, etc.)
•Competent typing skills and ability to multi-task between typing and phone.
•Ability to communicate concisely and accurately, written and oral.
