Executive Administrator- Retail

Job Description Summary

The Executive Administrator is responsible for providing administrative and operational support to the Executive or Senior Retail Management team, as well as, supporting the fee-earner(s) as required. The Executive Administrator will ensure that all daily operational and administrative functions are well-coordinated and completed on a timely basis.

Key responsibilities

Administrative and Office Support:

* Manage daily operational functions including calendar management, booking travel, email correspondence, maintaining distribution lists and expense management.
* Prepare all documents and agendas for key meetings. Leveraging brand templates and tools ensure that all leaders have the appropriate documents for meetings and that agendas are clear, cohesive and prepared in advance of activities.
* Proactively craft correspondence and memos to launch, resolve, or complete meetings, activities, or events. Align tone and language with executive team to ensure consistent and cohesive voice.
* Prepare, collect and maintain information for the group. Support the creation of marketing, research, proposals, and presentations.
* Coordinate group activities to support team building, training, or townhalls. Ensure that the organization has clarity on dates and deliverables and follow up to ensure participation.

Retail Operations Support:

* Schedule monitor and support team meetings. Assist in notetaking, summarize take-aways, publish follow up minutes, and maintain documentation.
* Maintain broker's master lists to ensure accuracy. Follow up with brokers as needed.
* Assist in managing major vendor contracts. Support RFP activity. Schedule vendor meetings and support research as required.
* Act as a subject matter expert on Engage. Develop a solid understanding of key technology.

Retail Cross Boarder/Business Development Support:

* Maintain monthly reporting of cross-border referrals, multi-market retail pursuits, and cross boarder key client lists.
* Collaborate and support marketing and research leads to ensure key broker resources are updated and available. This would include market lease comps, tenants in the market, retailer's sales volumes, market reports, collateral, case studies, and mapping.
* Manage information in Engage/Salesforce. Ensure accuracy of retailer contact lists used for business development and general inquiries.

Retail Marketing and Research:

* Maintain research subscriptions and users (corporate and alliance).
* Mange invoice payments and billing relative to subscriptions.
* Assist marketing lead with internal and external communication
* Maintain accuracy of retail listing site, retail SharePoint, brokers lists, and key data points.

Reporting Relationship:

Reports to Head of Retail for the Americas. Supports Senior Leaders in the organization

Key Competencies

* Strong organizational skills and exceptional attention to detail.
* Ability to manage proactively and act with initiative.
* High level of discretion, and integrity in handling confidential information.
* Self-motivated, autonomous, nimble, flexible and quick in managing the business.
* Ability to communicate with senior leaders both in person and in writing.
* Experience navigating matrixed organizations, utilizing Share-point and Workday.
* Advanced experience with Microsoft Office.

REQUIREMENTS

* High school, GED degree, Associate or College Degree
* Minimum of four years of office experience as either an administrative assistant or coordinator
